Business Administrator - Admissions Support | Woodville

Become a key part of a supportive, people‑focused team that guides residents and families through one of the most important decisions they’ll make. As an Admissions Coordinator, known as a Customer Services Consultant (CSC) at Bupa, you’ll work closely with your fellow CSC, our General Manager, and our Centralised Admissions team to ensure every step of the resident journey feels seamless and welcoming.
In this role, you’ll take ownership of the full “enquiries to arrivals” process — from the first phone call to the moment a new resident walks through our doors. You’ll be the warm, knowledgeable point of contact who meets with families, conducts tours, and helps them feel confident and supported throughout the admission process. Alongside this, you’ll provide high‑quality administrative support that keeps our Care Home running smoothly behind the scenes.
As a key leadership presence within the home, you’ll champion high standards across both resident experience and operational support.This is Fixed Term Part Time Maternity Leave cover.
About the home
Bupa Woodville is a modern care home located on Woodville Road where you’ll be close to the local community with schools, parks, churches and cafes nearby. It consists of 108 beds, with various care units. Our primary goal is placing our focus on the health, lifestyle and well-being of our residents.
Duties & Responsibilities:
Some of your responsibilities include but are not limited to –
- Build strong referral relationships within the community to support occupancy
- Provide warm, informative introductions and tours for prospective residents and families
- Convert enquiries into admissions and follow up on lost leads
- Coordinate all aspects of the admissions, welcome, and settling‑in experience
- Oversee the respite program to enhance customer experience and support respite‑to‑permanent conversions
- Collect and prepare required documentation for resident agreements
- Use customer feedback to drive continuous improvement across the admissions process
This role also involves receptionist duties that require you to –
- Deliver a customer‑centric experience for residents, employees, visitors, and suppliers
- Provide efficient administrative support, including document management, mail, security, and reporting
- Manage financial transactions such as petty cash, receipts, and banking
- Use the purchase‑to‑pay system to ensure adherence to the administrative budget
- Support the Care Home leadership team with organisational initiatives and community events
- Lead continuous improvement activities by gathering and actioning feedback from residents and employees
