The purpose of this job is…..

Reporting into the Chief Operating Officer, Dental, Optical & Hearing – In this Par-time Role as the Operations Support Coordinator plays a key role in supporting the efficient day-to-day operations of the team by providing high-quality administrative and operational assistance. This role is suited to a highly organised and proactive individual who can effectively manage competing priorities, maintain strong attention to detail, and contribute to the overall success of the team.

Responsibilities include:

  • Provide day to day business administrative support to the Dental, Optical & Hearing function.
  • Support for the COO of DOH including calendar and expense management. 
  • Act as a point of contact for internal and external parties where appropriate, including prioritising and distributing emails, correspondence and mail. 
  • Prepare presentations, spreadsheets, documents and prepare ad hoc reports as required. 
  • Invoice management – raising purchase orders, payment requests, ensuring timely approval and recording of accounts and information.
  • Expense management – reconcile corporate cards and expense reimbursements on a monthly basis. 
  • Travel management – Manage travel bookings internal and external for Dental, optical & hearing in line with the Bupa travel policy. 
  • Event support – Supporting team events when required 

What you’ll need to make it possible

  • 3+ years providing team assistant support at a mid to senior level 
  • Proven ability to meet strict deadlines in an organised manner 
  • Experience in utilising judgment, confidentiality and discretion at a senior support level 
  • Strong stakeholder management, with the ability to engage with Executives and Business Leaders, and all people throughout the organisation to achieve shared outcomes 
  • Ability to use initiative and drive when managing multiple business support priorities 
  • Demonstrable attention to detail and follow-up to ensure accuracy and timeliness of work 
  • Technical Skills: Microsoft Outlook (Advanced), and Microsoft Word, Microsoft Excel, Microsoft PowerPoint (Intermediate) 
  • Accurate word processing skills with attention to detail 
  • Experience with troubleshooting general technology issues and navigating systems (Windows & Apple)
