About the Opportunity

We are seeking a proactive and detail-oriented Receptionist to join our Bupa's Medical Visa Services Centre at Docklands. This role is ideal for individuals with strong reception and administrative skills who thrive in a fast-paced, customer-facing environment. As the first point of contact for customers undergoing medical assessments for their visa applications, you will play a crucial role in providing exceptional customer service and ensuring smooth operations within the centre. You’ll be responsible for guiding customers through the process, handling their queries, and ensuring all necessary administrative tasks are completed accurately and efficiently.

Your key responsibilities will include: 

  • Conducting an identity and security check and escalate any identified risks
  • Processing payments via EFTPOS
  • Confirming customer documentation is completed to requirements and processing forms
  • Confirming which examinations the customer is required to complete and explaining this to the customer
  • Entering required data and information into customer management systems and databases
  • Explaining the steps throughout the visa medical examination and ensuring the customer understands the key elements of the visa medical examination process

We are looking for: 

We are currently seeking an experienced administrator to join our team on a full-time, 12-month contract. There is a high likelihood of the role being extended or converted into a permanent position.

Medical Centre Hours: 

  • Monday to Friday: 7:00 am – 6:00 pm
  • Occasional weekends to support peak periods: 8:00am – 4:00pm
  • The successful candidate will work on a rotating roster within the operational hours above

About You:

  • Proven experience in either a medical or corporate administrative/reception role, demonstrating the ability to manage schedules, handle confidential information, and provide administrative support in a fast-paced environment.
  • Demonstrated customer focus and a professional, service-orientated and helpful approach
  • Excellent attention to detail and the ability to deliver accurate and constant outcomes in a busy and repetitious environment
  • Well-developed communication skills, with the ability to communicate effectively with a wide range of customers and staff, including people from culturally and linguistically diverse backgrounds and adapting communication style to meet the needs of the customer as well as convey information and key points clearly and concisely
  • Sound IT and computer skills
  • The ability to work effectively within a highly structured environment driven by procedure and process, and adhere to established processes, quality standards and targets
